Terms & Conditions

 This Catering Agreement is entered into between The Espresso Experience (“Caterer”) and the individual or entity paying for coffee catering services (“Client”) (together, “Parties”) and sets forth the agreement between the Parties relating to espresso catering services provided by Caterer for Client, as identified in the quote or invoice provided via email.


1. Event Details - Client is hiring Caterer to provide specialty espresso beverages and related services for the event listed on their online booking form and confirmed via email. Any changes to these details must be communicated directly to The Espresso Experience at least 7 days prior to the event, and may result in additional fees.


2. Menu to Be Served - The Parties have agreed on the menu. Caterer reserves the right to make minor changes based on availability of ingredients or equipment issues outside of Caterer’s control.

 

Typical Offerings:
Drinks (hot or iced):

  • Latte
     

  • Cappuccino
     

  • Mocha
     

  • Americano
     

  • Chai Latte
     

  • Hot Chocolate
     

  • Tea Selection
     

Syrups:

  • Vanilla
     

  • Chocolate
     

  • 1–2 seasonal flavors
     

Milk Options:

  • Whole Milk
     

  • Two dairy-free alternatives
     

3. Coordination with Venue - Client agrees to provide access to the venue at least 60 minutes prior to the service start time for setup, and 30–60 minutes after for breakdown, depending on the event.

Caterer must have access to:

  • An entry path suitable for a rolling cart (i.e., wheelchair accessible)
     

  • Elevators if not on ground level
     

  • Clear and safe space for setup
     

Outdoor events must meet the following conditions:

  • No precipitation
     

  • Temperatures between 40°F and 90°F
    Caterer may decline service if conditions are not suitable for the espresso equipment and no refund will be given.
     

4. Payment Terms - A 50% deposit is required to reserve the event date. Final payment is due 7 days before the event, unless otherwise stated. Payment can be made by credit card or other approved method.


Final guest count must be confirmed 7 days prior to the event. If guest count increases significantly, Caterer may adjust pricing accordingly.


5. Power Requirements - Client agrees to provide one (1) dedicated 110V / 15 amp circuit located no more than 25 feet from the cart setup. This outlet must not be shared with other devices. If insufficient power is provided and equipment fails to operate, no refund will be issued. Caterer will provide all extension cords.


6. Insurance - Caterer maintains general liability insurance for all events.


7. Indemnification - Client agrees to be responsible for any damage, theft, or loss of Caterer’s equipment due to the actions or negligence of guests or staff at the event.


8. Cancellation Policy - Cancellations must be submitted in writing.

  • 7+ days before event: Full refund
     

  • 2-6 days before event: 50% refund
     

  • 1 days before event: No refund, but credit may be applied to a future event
     

Custom items (e.g., branded cups or signs) are non-refundable once ordered.


8.1 Rescheduling

  • Single-day events: May be rescheduled with at least 72 hours notice
     

  • Multi-day events: May be rescheduled with at least 7 days notice
     

Requests made with less notice will not be eligible for rescheduling or refund. Rescheduling is subject to availability.


9. Limitation of Remedies - If Caterer cannot fulfill services due to unforeseen or uncontrollable circumstances, Caterer may refund all monies or help find a suitable replacement. No additional damages or compensation will be owed.
 

10. Dispute Resolution - Client agrees to notify Caterer of any issues and allow opportunity to resolve them prior to posting public complaints online. Both parties agree to communicate in good faith to reach a solution.


11. Jurisdiction - This agreement is governed by the laws of the state and county in which the event takes place.


12. Entire Agreement - This document and any attachments or email confirmations constitute the entire agreement between the Parties.
